How to Budget for an Event in New Zealand
A step-by-step way to set and stick to a budget for a party, wedding or work function in New Zealand, with a worked example and tips for getting real prices.

Event prices in New Zealand vary a lot with the date, the place, the number of guests and exactly what's included, so a price list from someone else's event rarely tells you much about yours. A better approach is to set your own budget, split it by what matters to you, and then get real quotes for your event. Here's how.
1. Set the total
Start with the amount you're comfortable spending in total, not a figure from a magazine. If someone else is contributing, such as family or your employer, agree the number with them now. Decide whether the total includes GST: most vendor quotes in New Zealand should state it, and 15% is a big difference.
2. Fix the guest numbers
Guest numbers drive most costs: food, drinks, venue size, chairs and staff. Draw up the list before you look at anything else. If the budget is tight, a shorter guest list usually saves more than cheaper choices elsewhere.
3. Split the budget by priority

4. Keep a contingency

5. Get real quotes

- Be flexible on the date. Weekdays, Sundays and quieter months are often easier to book, and some vendors price them lower.
- Choose a venue that includes more, such as tables, chairs, staff or a sound system.
- Book early for the best choice, especially for December and summer weekends.
- Spend on what guests notice: good food and a comfortable space usually matter more than extras.
- Ask what's possible for your budget. Vendors can often suggest a smaller package or a different menu that fits.
